Privacy policy

Who we are

This policy covers theegate.si and the E-Gate app, run by E-Gate, the e-marine supply platform for Egypt's ports, the Suez Canal and the Red Sea. It explains what we collect when you browse, order, upload a requisition or talk to our assistant, and what we do with it.

What we collect

Account details: your first and last name, your email address and a password, which we only store in scrambled (hashed) form.
Order details: vessel name, IMO or MMSI number, vessel type, delivery location, port, berth or anchorage details, ETA, ship agent, the contact name, email and phone or WhatsApp number you give us, your payment method, your notes, and the items and totals. We do not take card numbers on the website.
Your cart and preferences: your cart, saved items, delivery point (vessel type, location, port, vessel name and ETA) and the order numbers you have opened, kept in your session on our server.
Contact messages: your name, email, company or vessel, topic and message.
Requisition files: a file you upload is read once to match its lines to our catalogue. We do not keep the file.
Order tracking: the order number and email you enter, used only to find that order.

Cookies and technical data

We only use the cookies the site needs: a session cookie that keeps you signed in and holds your cart (up to 60 days), a security cookie that protects forms, and a language cookie that remembers English or Arabic (up to a year).
There are no advertising or analytics trackers on this site.
Like any website, our servers receive your IP address and basic browser and device information with each request. We use your IP address for one hour to limit how many assistant conversations can be started, and our hosting may keep it in security logs.
Fonts load from Google Fonts and some product photos from E-Gate's catalogue server, so those services also receive your IP address when a page loads.

The AI assistant (chat and voice)

The chat and voice assistant is provided for us by Voysera (SI). What you type or say goes to Voysera so the assistant can answer you, search our stock, add items to your cart and look up an order status.
Conversations may be recorded and transcribed to provide the service, to look into problems and to improve quality.
We send the assistant a random reference for your session, the site language and, if you are signed in, your first name. It never receives your password, and its order look-ups do not include the contact details on an order.
The microphone is only used after you start a voice conversation, and only for that conversation.

How we use your information

To take, confirm, deliver and invoice your orders, and to keep your order history.
To coordinate delivery with your ship agent, customs and port authorities where the delivery needs it.
To reply to your messages and quotation requests.
To run the assistant, keep the site secure and prevent abuse.
We do not sell your information and we do not use it for third-party advertising.

Who we share it with

Your ship agent, customs and port authorities, and our delivery team, only as far as a delivery needs it.
Service providers that run the site for us: Voysera (SI), which hosts the site on cloud servers and provides the assistant.
Authorities, when the law requires it.

How long we keep it

Your account stays until you delete it.
Orders are business records. We keep them as long as accounting, customs and legal obligations require, even after an account is deleted, but without your name, email or phone number.
Sessions expire after 60 days without use. Contact messages are kept while we handle them and for a reasonable time after.

Security

The site only works over HTTPS, passwords are hashed, and order data is only open to the E-Gate team that handles your orders. No system is perfectly secure, so please use a password you do not use anywhere else.

Children

E-Gate is a supply service for ships and marine businesses. It is not directed at children under 13 and we do not knowingly collect their information.

Your rights and deleting your account

You can ask for a copy of your information, ask us to correct it, or ask us to delete it through our contact page.
If you have an account you can delete it yourself at any time from My account, then Delete account. This removes your account and signs you out. Your past orders stay in our records for accounting, but your name, email and phone number are removed from them.

The E-Gate app

The E-Gate app for iPhone and Android shows this same website, so this policy applies to the app too.
The app asks for microphone access only for the voice assistant. You can refuse or turn it off in your phone's settings and still use everything else.

Changes to this policy

If we change this policy we will update this page and the date at the top.
